As the contractor begins to do their work, they will update the work status from their end. These changes will be seen on PermitManager on the status bar. You can also update these yourself, if dealing with a manual permit customer, for example.
- The first status is Works Pending, to indicate the work is about to begin:
Prior to the start of the work, if the contractor decides to abandon or cancel the work, you can update the status by clicking on the status bar and selecting the relevant dropdown option.
- Next, they will update the status to let the council know their works are In Progress:
When this status has been selected, the "Official Start Date" field on the Schedule screen will update to show the date the works commenced. Some councils will make a setting requiring a reason for the date; in these cases the contractor will provide a reason for starting on that date which can be viewed by hovering over the word Reason:
Similar to the previous step, if at any point the works are cancelled or abandoned, you can update the status by selecting the relevant dropdown option.
After the applicant has completed their work, they will update the status to Works Completed:
Clicking the "Works Completed" status bar will bring up the next available options, to lodge a works Inspection report or place the permit into Warranty mode.
When this status has been selected, the "Official End Date" field on the Schedule screen will update to show the date the works ended. Some councils will make a setting requiring a reason for the date; in these cases the contractor will provide a reason for finishing on that date which can be viewed by hovering over the word "Reason":
At this point, you may wish to carry out an Inspection of the site to ensure it has been left in an acceptable state. You may also wish to send out Additional Fees, e.g. if any remedial work needs to be paid for, or other costs have been incurred since the initial payment was completed.
The next step is for you to put the permit into "Warranty". If the council passed an Inspection, the permit will automatically update to this status. Otherwise, this can be done manually by clicking the status bar and selecting "Warranty":
The status bar will now be green and read "Warranty":
Warranty jobs do not show on the Dashboard list unless the "Include Warranty Jobs" option has been selected.
The final step, after the warranty period has expired (usually after 12 months unless changed manually), is for you to set the status to "Closed". Click the status bar and click "Permit Closed":
The status bar will now be red and read "Permit Closed":
Closed jobs do not show on the Dashboard list unless the "Include Inactive Jobs" option has been selected.
Once a permit application has been approved, PermitManager will automatically generate any Permit Approval or Rejection Certificate documentation required by your organization and send these out to the contractor. Similarly, upon completion of the job, Works Completion Notice Documents and Inspection Documents will be provided to the contractor. These will be listed on the Prerequisites page, and can be downloaded if required:
