Templates are used help standardise reusable messages and responses to the Requester.
Templates can be configured to utilise system "macros" to help dynamically fill templates with Job related details whenever they are used.
Add a Template
Click the Templates tab to load the Templates configuration screen.
Click the Add Template button at the top right to load the Template options in the right-hand panel:
Enter the Template Info:
- Template Name
- Description (the purpose/use-case for the template
- Content (the message that will be used, including Macros)
Note: the Template Name cannot be changed once the Template has been created
Click Save to complete the new template.
A popup window will appear prompting whether there are any ad-hoc documents that need to be attached to the template:
Documents can be also be attached when editing a Template.
Macros
A "Macro" (short for "macro instruction") acts as an automated rule for inputting information from the permit application / PermitManager into the message template.
For example, your generic message may need to mention the specific permit number, ie:
#Permit Number#
Positioning the Permit Number macro in the relevant place in the message will automatically fill in the relevant number when the template is used, eg:
"Permit #Permit Number# is still incomplete" in the real message becomes "Permit 123456 is still incomplete")
When creating / editing a message template, available macros are listed below the Content section. They can be clicked on directly to insert them into the Content, or typed in manually with a hash symbol (#) either end of the wording:
Some Macros will require further instructions when using the template, eg:
#Date Offset#
This field is used to designate a timeframe, eg, if a contractor has to complete a task within 5 days, the user will type "5" into the Date Offset field, and PermitManager will automatically calculate the due date in the template using the macro. In the example below, today's date is 09/06/2017:
Editing a Template
Click the Templates tab to load the Templates configuration screen, then click the relevant Templates from the list of existing Templates
The Template options will be displayed in the right-hand panel—the details will default to the Template Info section:

Update the available Template Info:

- Description (the purpose/use-case for the template
- Content (the message that will be used, including Macros)
Note: the Template Name cannot be changed once the Template has been created
Click Save to commit the changes.
Documents
Click Add Template Attachments and select the relevant files.
Click Upload Files to include them as part of the template:
Recipients
Once a template has been created, default Recipients can be assigned .
Click the checkbox for each of the relevant recipients to deliver the Template to whenever it is used.
Click Save to commit the changes.
Note: additional Recipients can be added when creating a Message
Deactivating a Template
Click the Templates tab to load the Templates configuration screen—a list of existing Templates will be listed in the left-hand pane.
Each listed Template will include a 'checkbox'—one or more Templates can be deactivated by clicking the associated checkbox and clicking the Deactivate button on the top right.
Alternately, individual Templates can be deactivated by editing the Template and clicking on the Deactivate button in the Template options in the right-hand panel.
