Inspections are mainly used to verify that works have been carried out to an acceptable standard after their completion. However, they can be run as many times as required, at any time during the permit application approval process, even before the permit is approved (e.g. if you wish to inspect whether onsite locates have been performed prior to approval, etc.).
There are two ways to instigate an inspection on PermitManager. Firstly, if the contractor has set the permit status to "Works Completed", you can click on the status bar at the top of the screen and select "Works Inspection":
This will prompt the inspection window to appear immediately so it can be filled in (as below).
Otherwise, inspections can be conducted at any stage by clicking the Inspection link from the bottom left of the screen:
If there are any inspections, regardless of if they were successful, unsuccessful or have been viewed, a blue box with a number will appear next to this button. It will show the overall number of inspections and will not decrease when inspections are successful, viewed, or past. If there are no inspections, there will be no blue box next to the button.
Click the New Inspection button at the top of the screen:
The popup below will appear. Fill in the relevant fields:
Inspection Outcome? : Did the inspection pass or fail?
Inspection Date: The date the inspection was conducted.
Comments: These are internal comments for you and your colleagues relating to the inspection. These should be kept professional; even though these are not sent to the contractor, they can request to see all information pertaining to their permit due to Freedom of Information laws.
Comments To Contractor: These notes will be sent to the contractor and should include any relevant details about the inspection / what needs to be done to remedy for a failed inspection.
Remediation Due Date: If an inspection fails, you can elect a date when the remedial works must be completed by. If you try to set a date here for a passed inspection, you will get an error message.
Attach File(s): If you have any documentation, photos, reports etc. pertaining to the inspection, these can be attached here. During the upload process you will be given an option of whether to send the documents to the contractor (if not, they will be kept on file just for the council's reference). Attached documents will be listed below.
Once completed, a popup will appear confirming the inspection has been created and the files have been uploaded:
Any files uploaded for the inspection will now be listed on the "Prerequisites" screen beneath the "Inspection Documents" section:
How can I view past inspections?
On the Inspection screen it will list all inspections undertaken for that site. On the right-hand side it lists the past inspections, in order from newest at the top to oldest at the bottom. A summary is given with whether it passed or failed and the council Comments:
Click on the relevant inspection to view it enlarged on the left-hand side of the screen:
If there are attachments, they can be downloaded by clicking on them from the list at the bottom.
Can I edit previous inspections?
No. It is important to ensure the inspection is lodged carefully the first time with all the relevant information. If anything is missed, a second inspection can always be created.
