Notes can be left on the "Notes" screen as internal communiques between the council staff organising the permit requests. These can be any type of helpful memo to keep track of any conversations, problems, or anything else to remind the you or your colleagues who are working on the request.
Click on Notes toward the bottom left of the screen:
If there are no notes, there will be no count next to the button. If there are notes, a blue box will appear with the overall number of notes. Note: This number does not change based on if a note has been viewed or not.
Type the required note into the blank field and click Post Note to save the note:
Saved notes will be shown to the right of the screen in descending order (oldest notes on top, most recent at the bottom), with a heading to show which user created the note. A date / time stamp is at the bottom right of the note also:
Note: Whilst the Notes are not automatically sent to / shared with the contractor, best practice will be to keep the notes professional. Freedom of Information laws exist in various countries, so contractors can request any records kept in relation to their permit, including users' internal notes. Do not type any notes you would not want the contractor to read.
Why can't I see a Note I just created?
Notes are stored in descending order with the oldest on top and most recent at the bottom. If there are a lot of notes, you may need to use the scrollbar to move to the bottom of the list to see the most recent notes.
