The Prerequisites screen is where any documents relating to the permit are stored. Any documents sent to or received from the contractor will be found here.
Once a contractor uploads a response document, you will see a + icon next to the listing on the Prerequisites page. You can click on this icon to expand the listing, click Download, and view the document.
After assessing the document, you will need to verify / reject the document. Click New and select the relevant option from the dropdown:
If the document is rejected, the contractor will be prompted to provide a secondary response.
Each prerequisite will need to have a verified response before the permit can be approved.
PermitManager accepts .jpg / .png / .doc / .docx / .xls / .pdf files.
Can I upload a document for a contractor?
Yes. Click the Upload button next to the incomplete listing:
Use the pop-up window to select and name the relevant document:
Click Upload to submit the response.
PermitMonitor will assume that because you uploaded the document, you will have already assessed and verified it prior to going to the trouble of uploading it. It will automatically have the status of "Verified". You can still click on the Verified button and select to reject the document:
A popup will appear requiring a reason for rejecting the response:
A new response will now need to be uploaded by either the contractor or yourself to complete the prerequisite (see above for information on how to manually upload documents yourself).
Can I send Conditions or documents to the contractor manually?
You can download the document to your PC, then it print off or email it to the customer manually if required.
I set the Prerequisites section as "Not Required" but I am still receiving documents from the contractor
The contractor will still receive the automatic prerequisite documents which are generated for every permit application by the council. The status of the documents will show as "Not Required" and they will not receive instructions to upload responses, but they do still have the ability to upload responses if they desire. Any documentation provided should be included in the decision-making for the permit.
Can I add a document to a permit if it is Approved or Closed?
Once the status of a job is set as "Approved" or "Warranty", documents cannot be loaded up using the Prerequisites screen anymore. However, a contractor can always send a document to the council using the Message screen, or else you can add text-based information into the Notes on the permit (Note: there is no attachment/image capability there).
Once the job has progressed through its Warranty period and is Closed, there is no way for extra documents to be added to PermitManager - the Prerequisites, Notes and ability to send Messages or do Inspections will be disabled as the system will have assumed everything was over and done with for the job.
